- The data of
a previously sold property resides in the ‘Sales History’
database. The current owners want to put the property onto the
market. Do I have to re-key the property information and photos?

- No >
Clone the property > Cut the ‘Purchaser’s Details’ from the
Clone and Paste them in ‘Vendors Details > and change the
‘Property Status’ of the Clone to ‘Current Listing’ and
change the Listing Date. You may require a new set of photos
if the property has changed.

- A property
is currently Leased but the current tenants are vacating. I want
to keep the current record in ‘Currently Leased Properties’ and
I also want the property to go back into Current Listings

Go into ‘Currently Leased Properties’ >
select the property > Details (or D/click) > Clone > delete
the current Tenants info from the Clone > and change
‘Property Status’ of the Clone to ‘Current Listing’ > Close
> Save

When the current tenant vacates the
property > go into ‘Currently Leased Properties’ > select
the property > Details (or D/click) > activate ‘History’ >
Close > Save. The info for that last tenancy now resides in
‘Leased History’

- When a
sales person does a replication from their laptop, is there any
security that protects the office if that sales person deletes
their Potential Listings or Buyers without authority?

Yes, if you click ‘Tools’ on the office
server you will see ‘Laptop Deletes’. This tool displays
both the ‘Contacts’ and the ‘Properties’ that have been
commissioned to be deleted from the Server. If you agree
then you allow the ‘proposed deletes’ to proceed and they
will be deleted, if you disagree then you re-assign the
‘proposed deletes’ to another sales person to administer and
they will not be deleted.

- If a
property may suit a particular contact Category e.g. Relocation
Companies, Developers or Architects etc., can I alert Contacts
in this Category separately and record the Activity?

Yes. Click onto the Property > click the
‘Other People’ tab > Add > select the Category you require >
filter the names by deleting the ones you do not require or
select them all > e-Brochure or SMS

include in my 'Bulk Email'?

'Internet' on the 'Toolbar' > Images > New > locate the Image
you require > Open > Upload > Close

A ‘Buyer’ is someone who has answered all of your business rules
(see Setup > Business rules). A) If a ‘Contact’ is received via
phone-in etc. it is simply a ‘’Lead’. To enter a ‘Lead’ click
the ‘+New Contact’ button at top of screen > enter the contact
details > assign to a sales person > change from ‘Unqualified’
To ‘Buyer. > if all the ‘Business Rules’ are answered it will be
accepted as a Buyer if not they must remain as ‘Unqualified’ to
be saved. The sales person must qualify them further before they
can progress to become a Buyer > All ‘Unqualified’ contacts are
found in ‘Leads (Not Qualified)’ on the left side of screen. B)
If the ‘Leads’ are obtained from an OFI then > click onto the
property address in ‘Current Listings’ > click ‘New Leads’ enter
their details click ‘+New’ button and add the next ‘Lead’ > the
same rules apply. The difference between a ‘Phone-in Lead’ and
an ‘OFI Lead’ is that the OFI Leads are automatically credited
in your ‘Property Activity Reports’ against the property that is
highlighted. When a New Lead becomes ‘Qualified’ the system
automatically matches their information against other ‘Current’
and ‘Shared’ Listings in your database.

How do we flag
this buyer as a potential listing?

Check to see if there is a Category called ‘Buyer–Potential
Vendor’? If not create that Category. (Setup > Options > People
Category). Then Double Click onto a Buyer that you want to also
be a ‘Buyer-Potential Vendor’ > click ‘+Add’ button on the
Buyers Card and choose that Category. The system will add the
‘Buyer–Potential Vendor’ Category against that Buyer

How do we set
reminders to contact this potential listing?

This can be Automated in Scheduler to occur at particular
intervals or for individual and specific contacts > on the Buyer
Screen highlight the buyer and click ‘Schedule’ button. Your
Bulk Email function should be contacting every Buyer on your
Database every week and scheduled to contact them and verify
their status, every month

this potential listing as a new listing?

In that
Property’s details change the ‘Property Status’ from ‘Potential
Listing’ to ‘Current Listing’

buyer as a purchaser?

Rarely does ‘Buyer Information’ match ‘Purchaser’ information.
When a property changes its status from ‘Current Listing’ to
‘Sold’ and you ‘Save’ that change, the system will ask a whole
bunch of questions. When you save those answers it interrogates
the Buyer database for matching Mobile Numbers and Email
addresses, then it alerts you to which sales person(s) that
information belongs. You can transfer any relevant information
across from Buyers to Purchasers. It will then ‘delete’ them
from your Buyers register. These people now belong in your
‘Purchaser Register’

How do we add
solicitors details for a new listing?

Click onto the ‘Vendor’ tab and enter under 'Solicitor'
