If you would like to have your company name
displayed on the Welcome Screen, insert your Company Name next to
‘Multilink Title’.
Sharing Defaults (tab) –
automatically sets your New Listings to the Defaults you require.
The Defaults can be manually altered when you create a New Listing >
‘Share Mode’ set to:
Internal = Restrict Listings
to your office. Will not go to any Internet Site or to
Alliances
Branch = Restricts Listings to
your office and Alliances within a Branch. Will also go to Internet
Sites you have included under ‘Distributors’
Group = Restricts Listings to
your office and Alliances within a Group. Will also go to Internet
Sites you have included under ‘Distributors’
Alliances = Sends your New
Listings to all of the Alliances you have selected. Will also go to
Internet Sites you have included under ‘Distributors’.
Multilist = Sends your New
Listings to all of the Alliances you have selected and to any other
office who has requested to receive Multiple Listed properties in
that New Listing postcode . Will also go to Internet Sites you have
included under ‘Distributors’
Receive Setup (tab) > Current
Listing (tab) selects the Post Codes you would like to receive New
Multiple Listings information. Then select the Alliance (Offices or
Branches or Groups) you would like to receive New Multiple Listings
information.
Receive Setup (tab) > Sales
History (tab) selects the Post Codes you would like to receive Sales
History information. Then select the Alliance (Offices or Branches
or Groups) from whom you would like to receive Sales History
information
People Categories (tab) > a
Contact can be registered in several Categories e.g. they may be a
Buyer, Investor and in the ‘Buyer-Potential Vendor’ categories – at
the same time. This is where you Add/Delete Categories. The
Categories highlighted in Blue cannot be deleted. Click the ‘Open
Buyer Analysis’ button, to view how many Contacts are registered in
each Category.
System Settings (tab) > allows
you tom select the arithmetic that calculates the Prices of
properties that will be returned when a Buyer matches a Property or
when a Property matches a Buyer e.g. if a Buyer was registered with
a ‘Price To $100,000’, the system default would search Private Sales
between $90,000 and $120,000. And would search Auctions between
$75,000 and $105,000. If a Private Sale New Listing was $100,000 the
system default would search for Buyers with a ‘Price To’ between
$90,000 and $110,000. If an Auction New Listing was being quoted at
$100,000+, the system default would search for Buyers with a ‘Price
To’ between $95,000 and $125,000. The system defaults can be altered
to suit your own requirements.
The GST settings
are at 10%
‘Default Contact
Localities’ refers to the post codes that the system will search
whenever you register a Lead or a Buyer. These Post Codes can be
edited on each Buyers individual details card. To set Default
Localities click ‘+Add’ > Insert your Default Suburb and request it
to include surrounding suburbs (usually within a 4km radius) > Find
> delete the suburbs you do not want > Select All > OK
Communications (tab) is where
you insert your password for SMS Text messages. Click ‘send via
email’ to enable recipients of SMS Text Messages to reply to the
Text Message they receive by clicking ‘Reply’ on their Mobile Phone.

Arrange your screen to display all of your working screens in one
view.
There will be times when you have several screens
open at the same time. Toolbar > Window > Cascade/Tile
Horizontally/Tile Vertically allows you to choose how you would like
to view the Multiple screens
How do
I find out what tasks I have to do each day
When you log-in read the ‘Welcome Screen’ or
click Window > Welcome Screen, on the Toolbar
Update
the Internet
“I have
just added/altered a property listing and want to update the
Internet without doing a ‘Bulk Upload”
Highlight the Property Address > Toolbar >
Internet > Upload Selected
To
confirm when a property’s data was last updated on the Internet
Highlight the Property Address > Toolbar >
Internet > check upload status. You will view the last time it was
updated locally and the last time it was updated on the Internet
Update
the Internet with all New Listings and Alterations and Download
Listings from Alliance offices and Updates from Multilink Tech
Support
Toolbar > Internet > Bulk Upload > Transfer
Upload
the photos you want to include in your next ‘Bulk Email’ onto the
Internet
Toolbar > Internet > Images > +New > select the
image > Open > Upload = the image now resides on the Internet can be
pasted into your Bulk Email
Approve Deletes from a laptop
When a Laptop Replicates its Deletes of
properties and People they remain undeleted on the Server until they
are sanctioned by an Administrator>
Toolbar > Tools > Laptop Deletes > takes you to those Properties and
People that have been deleted. If you do not want to delete them >
click Un-delete and reassign the selected records to another User.
If you are happy to delete the records then proceed to Delete and
clear the register. This function should be done daily.
Replication from Laptop
to Server
Synchronise Laptop with Server. Connect your laptop to the Office
Server then on Toolbar click Tools > Replication.
Check for Duplicate Email
addresses
Toolbar > Tools > Check for Duplicate emails
Check for Duplicate
Mobile Phone numbers
Toolbar > Tools > Check for Duplicate Mobile #
